A few weeks ago, one of our longtime customers almost signed up for three new tools in the same month:


  • Mailchimp for email newsletters

  • Calendly for booking

  • A new phone system for the front desk.


She'd been running her school on Noto for a while, but had no idea we'd already built all three of those into the platform.

She's not alone. A lot of schools start on Noto for the basics, scheduling and billing, and then quietly rebuild the rest of their tech stack around it with separate tools, because nobody told them they didn't have to.


So here's the list. If you're paying for any of these separately, there's a good chance you can cancel it.


Scheduling and booking tools


If you're using a standalone booking tool so students or parents can grab open lesson times, that's already Noto. Self-scheduling links let clients book (and reschedule) themselves, with your own rules for how far out they can book, cancellation windows, and recurring lesson slots. It syncs two-way with Google Calendar so nothing double-books.

Replaces: Calendly, Acuity, and similar booking tools.


Invoicing and payments


Noto handles billing natively: monthly plans, class packs, per-attendance charges, deposits, and one-off invoices, with credit card and ACH processing built in, plus public payment links so clients can pay without logging in. If your invoicing is currently living in Square or QuickBooks while your scheduling lives in Noto, you're maintaining the same customer and payment data in two places for no reason.

Replaces: Square invoicing, standalone QuickBooks invoicing.


Forms: intake, registration, and agreements


Noto's form builder handles sign-ups, inquiries, and enrollment forms, with custom fields that flow straight into a lead or member profile instead of sitting in a spreadsheet you have to import by hand. Forms now support signature fields too, so a registration or enrollment agreement can be signed as part of the same form, with no separate document to chase down.

Replaces: Google Forms, JotForm, and, for enrollment agreements and waivers specifically, a fair amount of what people reach for DocuSign to do.


CRM and lead tracking


Every inquiry that comes in through a form (or gets caught automatically from your inbox) becomes a lead you can track through its own pipeline, with custom fields, notes, and search built in. If you're logging leads in a spreadsheet or a separate CRM and then re-entering the ones that convert into Noto, that's a step you don't need.

Replaces: Standalone CRMs and lead-tracking spreadsheets.

Email marketing


Noto can send newsletters and announcements straight to your parent and student lists, and email an entire class or group with one click, using the contact data that's already in the system instead of an exported CSV that goes stale the moment someone updates their email address.

Replaces: Mailchimp for most day-to-day newsletters and announcements.


Phone and texting


Two-way texting is built into the same inbox as your email, so a parent can text a question and your staff can answer it without anyone pulling out a personal phone. Noto also supports inbound calling with a custom voicemail greeting and call routing, so a front desk line can run through the platform instead of a separate phone system.

Replaces: A separate small-business phone system for texting and front-desk calls.


Why this is worth an afternoon of your time


None of this is really about Noto being "better" than Mailchimp or Calendly or Square. Those are all fine tools on their own. It's that every one of them is a separate login, a separate bill, and a separate copy of your customer data that can drift out of sync with what's actually happening in Noto.
